A couple of times my team had to go find each of our Power BI Reports to make a change to keep them standardized. For example, legal makes a change to their notice statement located in the footer section. Or, the design team updates their acceptable logo (image). Another opportunity with this is to compose a standard message to all reports using the template.&nbsp; This wouldn\u2019t be an issue if we had 10 reports and a dashboard or 2 that are all centrally located. But with 70+ reports on Power BI Cloud, plus putting out a message to superusers who have created their own local reports based off of our templates (which we encouraged), this can be a huge undertaking.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There are probably many great solutions to this issue. But for most examples and descriptions, I don\u2019t find centralizing the artifacts, that make up the design of reports, a concept that is used consistently. So this article is intended to show how I centralize many of those pieces. Once put together, a change in a single artifact will be distributed to all of the reports &#8211; keeping the reports consistent and in line with the companies&#8217; ongoing expectations.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Some considerations before we start creating:<\/h2>\n\n\n\n<div class=\"wp-block-group is-vertical is-layout-flex wp-container-core-group-is-layout-4fc3f8e1 wp-block-group-is-layout-flex\">\n<p class=\"wp-block-paragraph\"><strong>Who<\/strong> &#8211; Who should have access to the artifacts? (presumably all users of the reports)<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What<\/strong> &#8211; Templates artifacts should include logos and standard images, legal statements, links to legal statement details, company name, json theme, standard functional layout templates, company messages*, etc\u2026<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Where<\/strong> &#8211; Where should the artifacts and templates be located? (consider firewall access, security, modularity, etc\u2026)<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>When<\/strong> &#8211; When the developers are creating reports, will the templates and\/or artifacts be available?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>How<\/strong> &#8211; How will\/should developers use the artifacts? How will you train them on using the centralized artifacts?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Why<\/strong> &#8211; Developers will ask WHY they should use the centralized artifacts and template\u2026 do you have clear answers for them?<\/p>\n<\/div>\n\n\n\n<h2 class=\"wp-block-heading\">When starting a new project I have a couple of steps I start with before ingesting any data:<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">On a drive that all types of report viewers have access to\n<ul class=\"wp-block-list\">\n<li class=\"\">Create a read only folder (I usually call it [Artifacts])<\/li>\n\n\n\n<li class=\"\">Place your company theme .json file there\n<ul class=\"wp-block-list\">\n<li class=\"\">If your marketing department doesn&#8217;t already have a theme file, you can create one at<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><a href=\"https:\/\/themes.powerbi.tips\/themes\">https:\/\/themes.powerbi.tips\/themes<\/a><br>Or Just customize your own theme within PBI Desktop on Design \u0086> Customize Theme<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">I also create a subfolder (inheriting read only status) generally called [Images]\n<ul class=\"wp-block-list\">\n<li class=\"\">I then copy versions of the companies&#8217; logo, and other standard images, for report developers to use in the reporting.\n<ul class=\"wp-block-list\">\n<li class=\"\">Some considerations:\n<ul class=\"wp-block-list\">\n<li class=\"\">Image should be sized appropriately<\/li>\n\n\n\n<li class=\"\">Image types should be in jpg, png or svg (svg needs some additional service to make these work in Power BI &#8211; I will do a specific future article on this)<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li class=\"\">Additionally, I create an excel (or csv) file that includes company wide information (note: I also usually make a report specific file that has specific information that stakeholders or superusers can edit).\u00a0 I usually call this file [company_resource].\u00a0 It usually looks something like:<\/li>\n<\/ul>\n\n\n\n<figure class=\"is-style-regular wp-block-table\"><table class=\"has-black-color has-white-background-color has-text-color has-background has-link-color\"><tbody><tr><td>Item<\/td><td>Value<\/td><\/tr><tr><td>Company Name<\/td><td>This Company Name<\/td><\/tr><tr><td>Company tag line<\/td><td>Simply a tag line for company<\/td><\/tr><tr><td>Company Logo url<\/td><td><a href=\"http:\/\/jpbydesign.com\/QB-Reporting-Project\/Artifacts\/Generic%20Logo%20width_579.png\">Http:\/\/jpbydesign.com\/QB-Reporting-Project\/Artifacts\/Generic Logo width_579.png<\/a><\/td><\/tr><tr><td>Legal Statement<\/td><td>Confidential &#8211; for internal use only<\/td><\/tr><tr><td>Legal Statement Link<\/td><td><a href=\"http:\/\/jpbydesign.com\/QB-Reporting-Project\/Artifacts\/LegalInformationPage\">Http:\/\/jpbydesign.com\/QB-Reporting-Project\/Artifacts\/LegalInformationPage<\/a><\/td><\/tr><tr><td>Legal contact<\/td><td>mailto: LegalInfo@JPByDesign.com<\/td><\/tr><tr><td>License and source info<\/td><td><a href=\"http:\/\/jpbydesign.com\/QB-Reporting-Project\/Artifacts\/LicenseAndSource.htm\">Http:\/\/jpbydesign.com\/QB-Reporting-Project\/Artifacts\/LicenseAndSource.htm<\/a><\/td><\/tr><tr><td>IT contact<\/td><td><a href=\"mailto:InfoRequest@jpbydesign.com\">mailto: TechInfoRequest@jpbydesign.com<\/a><\/td><\/tr><tr><td>Company Address<\/td><td>1234 SE main street, AnyCity, AnyState&nbsp; 10022<\/td><\/tr><tr><td>Company Phone<\/td><td>888-888-8888<\/td><\/tr><tr><td>Company Email<\/td><td><a href=\"Mailto:%20CompanyEmail@JPByDesign.com\">Mailto: CompanyEmail@JPByDesign.com<\/a><\/td><\/tr><tr><td>CompanyWide Report Message<\/td><td>Critical!! &#8212; data was incorrectly received.&nbsp; Please check back in 24 hours for update<\/td><\/tr><tr><td>CompanyWide Report Message priority<\/td><td>High<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">This should be very thin &#8211; limited to only information that is needed to create standardized reports and templates<\/li>\n\n\n\n<li class=\"\">Normally the message &amp; priority would be blank\u2026<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Power BI template files can be wonderful.&nbsp; If you have not used a template file, you basically create a Power BI Report and then save it as a PBIT (template) file.&nbsp; When developers or superusers want to create a new report, all they have to do is double-click on it and the Power BI report is automatically created &#8211; without being saved.&nbsp; Developers and\/or superusers just have to add details needed and save it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The balancing point is how much to put into a template and what to leave out.&nbsp; Should the dataset be added?&nbsp; Should the measures be pre-created?&nbsp; Depending on the client, I have created bare-bones templates through fully configured reports &#8211; where users just need to add messages.&nbsp; This example is bare-bones.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Optimally, I would like to see Microsoft create a Header and Footer section that persist through each page\u2026 allowing for visualizations to be put on top &#8211;&nbsp; like how MS Publisher and\/or MS Word work.<br><br><strong><em>Question: Do you centralize formatting and messaging?&nbsp; How do you do it?&nbsp; Let me know in the comments.<\/em><\/strong><br>&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The following are details on how I set up a template file\u2026<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">If you are already familiar with template setup you can skip to the bottom.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">setting up the Power BI template that developers and superusers should use:<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">Open a blank Power BI report<\/li>\n\n\n\n<li class=\"\">Go to Design top tab and choose Import theme &#8211; search for the .json file in the explorer window<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image size-large is-resized\"><img decoding=\"async\" width=\"1586\" height=\"521\" data-attachment-id=\"4179\" data-permalink=\"https:\/\/jpbydesign.com\/index.php\/2026\/10\/20\/future-proofing-power-bi-design-alignment\/image-7\/\" data-orig-file=\"https:\/\/i0.wp.com\/jpbydesign.com\/wp-content\/uploads\/2026\/10\/image-1.png?fit=1586%2C521&amp;ssl=1\" data-orig-size=\"1586,521\" data-comments-opened=\"1\" data-image-title=\"image\" data-image-description=\"\" data-image-caption=\"\" data-large-file=\"https:\/\/i0.wp.com\/jpbydesign.com\/wp-content\/uploads\/2026\/10\/image-1.png?fit=1024%2C336&amp;ssl=1\" loading=\"lazy\" src=\"https:\/\/i0.wp.com\/jpbydesign.com\/wp-content\/uploads\/2026\/10\/image-1.png?fit=1024%2C336&amp;ssl=1\" alt=\"\" class=\"wp-image-4179\" style=\"aspect-ratio:3.0588235294117645;width:572px;height:auto\" srcset=\"https:\/\/i0.wp.com\/jpbydesign.com\/wp-content\/uploads\/2026\/10\/image-1.png?w=1586&amp;ssl=1 1586w, https:\/\/i0.wp.com\/jpbydesign.com\/wp-content\/uploads\/2026\/10\/image-1.png?resize=300%2C99&amp;ssl=1 300w, https:\/\/i0.wp.com\/jpbydesign.com\/wp-content\/uploads\/2026\/10\/image-1.png?resize=1024%2C336&amp;ssl=1 1024w, https:\/\/i0.wp.com\/jpbydesign.com\/wp-content\/uploads\/2026\/10\/image-1.png?resize=768%2C252&amp;ssl=1 768w, https:\/\/i0.wp.com\/jpbydesign.com\/wp-content\/uploads\/2026\/10\/image-1.png?resize=1536%2C505&amp;ssl=1 1536w\" sizes=\"auto, (max-width: 1170px) 100vw, 1170px\" \/><\/figure>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"\">Ingest csv\/excel file(s) that contain the company basic information (note: I transpose the data and promote headers in Power Query so it easier to access the data).
